We’re hiring: Conference and Events Organiser

  • Salary range in the region of: £32,160 – £34,000 per annum
  • This is part time role, 30 hours per week

We have an exciting new opportunity for a Conference and Event Organiser to join Wellcome Connecting Science, as part of the Hinxton Hall Conference Centre team. This is a part time (30 hours per week) and 12-month fixed-term contract.

About the role

As an Event Organiser, you will play a key role in delivering exceptional meeting and events experiences at the Conference Centre by working closely with both team colleagues and contractors involved in operational delivery.

From managing bookings to coordinating logistics, you will ensure every detail is executed flawlessly.

What you’ll be doing

Event coordination
  • Respond to enquiries and manage bookings, offering expert advice on event planning and venue options.
  • Use the Kinetic system to manage bookings, generate contracts and invoices, and maintain accurate event details.
  • Collaborate with internal teams and external suppliers (e.g., caterers, entertainers, marquee companies) to ensure smooth event delivery and compliance with health and safety standards.
  • Oversee the onsite coordination of events, ensuring everything runs smoothly from start to finish.
Client relations and bookings
  • Conduct venue tours and convert enquiries into confirmed bookings.
  • Build and maintain strong relationships with clients, agencies, and suppliers to drive future business.
  • Manage client accounts and meet annual business targets while ensuring client satisfaction.

Essential skills

  • Educated to degree level or able to demonstrate extensive event organising experience
  • Demonstrable experience of scientific administration or working with academic researchers or commercial organisations organising workshops, conferences, or other events
  • Excellent communication, written and oral; networking and negotiation skills
  • Ability to develop good working relationships with people from a variety of backgrounds
  • Methodical and well-organised approach to work
  • Highly organised in administrative functions, with close attention to detail and accuracy
  • Multi-tasking skills
  • Self-motivated and responsible
  • Excellent time management skills and ability to meet agreed deadlines
  • Must be able to work as part of a team within a defined organisational structure
  • Must be able to work flexible hours using a hybrid working approach
  • Good knowledge of MS Office applications (especially Excel and Word)
  • Knowledge and previous application of Kinetics is desirable.
